Location: Remote (LATAM Preferred) Salary Range: 2500 - 3500 USD/month, depending on experience. Position Overview: We are seeking a highly organized and proactive Finance & Admin Operations Manager to oversee financial operations and administrative functions across the business. This is not an accounting or bookkeeping role. Instead, you'll serve as the operational bridge between finance and leadership, ensuring accurate financial visibility, efficient administrative processes, and smooth day-to-day operations. Working directly with the business owner, you'll oversee key financial workflows, support a small administrative team, and implement process improvements using automation and AI tools where appropriate. Key Responsibilities: Oversee the weekly Accounts Payable process and ensure timely vendor payments. Coordinate payroll with internal and external stakeholders. Monitor cash flow and provide leadership with accurate financial visibility. Review financial reports to identify trends, risks, and opportunities. Manage administrative operations and continuously improve internal processes. Supervise, mentor, and support a small administrative team (approximately two direct reports). Implement AI tools and automation to improve operational efficiency. Partner closely with leadership to solve operational challenges and support business initiatives. Ensure administrative projects and operational initiatives are completed accurately and on schedule. Develop and maintain reporting that supports informed business decisions. Qualifications: Strong proficiency in QuickBooks (required). Advanced Microsoft Excel skills, including financial reporting and analysis. Experience overseeing Accounts Payable, payroll coordination, and financial operations. Strong understanding of cash flow management and business financials. Experience managing administrative or office operations. Previous experience supervising or mentoring team members. Comfortable leveraging AI tools such as ChatGPT or Claude to improve productivity. Exceptional organizational skills and attention to detail. Strong analytical and problem-solving abilities. Excellent written and verbal English communication skills. Self-motivated with the ability to work independently and manage multiple priorities. Nice-to-Haves: Experience supporting service-based businesses. Experience working with U.S.-based companies. Background in workflow automation and process optimization. Experience with operational reporting and KPI tracking. Familiarity with remote team collaboration and operations management.
