Core Responsibilities

Key Responsibilities: Manage executive calendars, schedule meetings, and resolve conflicts across time zones. Monitor and organize email inboxes, draft replies, and flag urgent items. Track tasks, deadlines, and deliverables using project management tools (Monday.com, Asana, Notion, ClickUp, or similar). Coordinate travel, prepare itineraries, and handle logistics. Prepare documents, meeting notes, reports, and presentations. Act as a communication bridge between the executive and internal/external contacts. Anticipate needs and handle problems proactively before they escalate.

Requirements

Qualifications: 2+ years of experience as an Executive Assistant or in a similar remote admin support role. Strong calendar management, inbox management, and scheduling skills. Proficient with Google Workspace and/or Microsoft Office. Experience with at least one project management tool. Strong written and verbal English. Reliable internet and a quiet home office setup. Able to work US business hours. Nice-to-Haves: Experience supporting C-level executives (CEO, COO, Founder). Background in finance, home services, tech/SaaS, real estate, or professional services. Familiarity with CRM tools (HubSpot, Salesforce) or communication tools (Slack, Loom, Zoom). Bilingual English/Spanish.
