
Compliance & Licensing Specialist (Food Safety Compliance)

Key Responsibilities: Food Safety & Operational Compliance (Primary Initial Focus). Support food safety compliance programs across all business locations. Remediate and organize existing food safety compliance backlogs. Track food safety documentation, certifications, and inspection requirements. Coordinate with on-site teams to resolve compliance gaps. Create and document repeatable compliance processes and procedures. Develop systems to prevent future compliance lapses. Business, Entity & Regulatory Compliance. Manage multi-state entity compliance activities, including annual reports, good standing requirements, franchise tax coordination, and business personal property tax tracking. Maintain and manage compliance calendars across multiple entities. Track monthly, quarterly, and annual filing requirements. Coordinate with external CPAs and internal stakeholders to ensure required filings are completed accurately and on time. Manage business licensing and renewal processes. Coordinate regulatory submissions and documentation requirements. Create structured remediation plans to resolve compliance gaps and backlogs. HR & Payroll Compliance Support. Audit payroll tax filings and documentation processed by third-party payroll providers. Maintain payroll-related compliance records. Support onboarding and offboarding compliance processes. Maintain workers' compensation documentation and records. Benefits & Insurance Administration. Support annual insurance renewal processes. Gather broker proposals and prepare comparison summaries for leadership review. Maintain benefits documentation and compliance records. Assist with administrative insurance and benefits-related tasks.
Requirements
Qualifications: 4+ years of experience in compliance, licensing, operations, HR administration, regulatory administration, or related fields. Experience supporting food safety compliance programs and maintaining compliance documentation. Experience with U.S. multi-state entity compliance, annual reports, business registrations, or regulatory filings. Experience coordinating with external CPAs, payroll providers, or regulatory agencies. Experience managing business licensing, compliance tracking, or filing calendars. Strong organizational, documentation, and project management skills. Ability to work independently and proactively manage compliance deadlines. Excellent written and verbal English communication skills. High attention to detail and process-oriented mindset. Nice-to-Have: Experience in regulated retail, hospitality, food service, or related industries. Familiarity with DOT compliance requirements. Exposure to alcohol licensing processes. Experience supporting insurance renewals or broker coordination. Experience with payroll tax compliance reviews.
