Core Responsibilities

Key Responsibilities: Monitor project communications and serve as a primary point of contact for clients, property managers, and HOA representatives. Oversee construction and field service projects from scheduling through completion. Coordinate and manage technician, crew, and subcontractor schedules based on project priorities and timelines. Ensure projects are properly staffed, scheduled, and executed according to company standards. Communicate project updates, timelines, and milestones to clients and stakeholders. Track project progress and ensure all required documentation, permits, reports, and closeout materials are completed. Maintain accurate project records, operational reports, and job documentation. Identify and proactively resolve scheduling conflicts, operational bottlenecks, and project delays. Coordinate with internal teams to ensure projects remain on schedule and within operational expectations. Assist with payment follow-ups, project billing coordination, and job closeout processes when needed. Support operational process improvements that increase efficiency, project visibility, and service delivery. Monitor key operational metrics and recommend improvements to project workflows and resource allocation.

Requirements

Qualifications: 3+ years of experience in project coordination, service coordination, or operations support. Experience working with field service teams, scheduling, or technician dispatch. Customer-centric. Strong organizational and time management skills. Excellent written and verbal English communication skills. Ability to manage multiple projects and priorities simultaneously. Strong problem-solving and coordination skills. Comfortable working in a fast-paced remote environment. Nice-to-Have: Experience supporting HOA, property management, or home service companies. Familiarity with field service software (ServiceTitan, Jobber, Housecall Pro, Service Fusion, or similar). Experience with project or workflow management tools (Asana, Monday.com, ClickUp, etc.). Background working with U.S.-based service businesses.
