Position Overview: The Leasing Specialist supports asset managers through application processing, leasing coordination, prospect communication, and move-in management. This role serves as a key point of contact for applicants and residents throughout the leasing process while ensuring all property data, listings, and documentation remain accurate and up to date. Over time, the successful candidate will expand into additional property management support functions, including utilities coordination and make-ready operations. Key Responsibilities: - Process rental applications and collect all required applicant documentation. - Review applicant files for completeness and prepare them for final approval. - Create, distribute, and manage lease documentation. - Serve as the primary point of contact for prospects during the lease signing process. - Answer applicant questions regarding deposits, utilities, approvals, move-in procedures, keys, and lease requirements. - Maintain accurate applicant, resident, and property information across all systems. - Create, update, and manage property listings across platforms, including HAR, Buildium, and Rent Engine. - Coordinate communication between applicants, agents, asset managers, and internal stakeholders. - Create and manage leasing fees within the property management system. - Ensure listing information remains accurate, complete, and current. - Support leasing operations from inquiry through move-in. - Assist with utilities coordination following training and demonstrated proficiency. - Assist with make-ready coordination and operational support as business needs evolve. - Maintain organized records and documentation across leasing and property management activities. Qualifications: - Bilingual English/Spanish. - Experience in residential property management. - Experience supporting leasing operations, leasing coordination, or tenant onboarding. - Strong communication and customer service skills. - Excellent organizational skills and attention to detail. - Ability to manage multiple priorities, deadlines, and follow-up tasks simultaneously. - Comfortable working within property management software and documentation systems. - Experience in maintaining accurate records, data entry, and property listings. - Ability to work independently with minimal supervision. - Strong written and verbal English communication skills. - Professional, diplomatic, and relationship-focused communication style. Nice-to-Haves: - Experience with Buildium, LeadSimple, Property Meld, Rent Engine, Tenant Turner, and other similar tools. - Previous experience supporting utilities coordination. - Previous experience supporting make-ready processes. - Experience working remotely with U.S.-based property management teams.
