Position Overview: The Maintenance Coordinator will serve as the primary point of coordination for maintenance operations across an assigned property portfolio. This role ensures maintenance requests, turnovers, inspections, vendor relationships, and property preservation activities are completed efficiently while delivering outstanding customer service to owners, residents, vendors, and internal teams. Key Responsibilities: Coordinate maintenance requests from start to completion using AppFolio, Property Meld, and other company systems. Schedule and manage repairs among tenants, owners, vendors, and internal team members. Monitor work orders, maintain accurate documentation, and provide timely status updates. Verify completed repairs and ensure quality standards are met. Escalate emergency maintenance situations and coordinate appropriate resolutions. Communicate professionally with owners, residents, vendors, insurance providers, and home warranty companies. Manage turnover projects, rent-ready repairs, and move-in and move-out maintenance activities. Coordinate annual inspections, preventive maintenance, and property preservation initiatives. Recruit, onboard, and maintain relationships with qualified vendors. Ensure vendor licensing, insurance, tax, and payment documentation remains current. Coordinate insurance claims, warranty repairs, and major maintenance projects. Maintain accurate records in AppFolio, Property Meld, LeadSimple, RingCentral, Gmail, and ZInspector. Support workflow improvements and keep assigned operational tasks current. Lead special maintenance projects and coordinate larger repair initiatives as needed. Follow company policies, cybersecurity standards, and data privacy protocols. Participate in ongoing training, department meetings, and the monthly emergency on-call rotation. Qualifications: 3–5+ years of maintenance coordination, property management, or related experience. Hands-on experience using AppFolio and Property Meld is required. Excellent written and verbal English communication skills. Strong organizational skills with the ability to manage multiple priorities simultaneously. Experience coordinating vendors, tenants, and property owners. High attention to detail and strong documentation skills. Ability to troubleshoot maintenance issues and provide excellent customer service. Comfortable working independently in a fast-paced remote environment. Availability to begin within approximately two weeks of accepting an offer. Nice-to-Haves: Stable employment history demonstrating long-term commitment. Construction or property maintenance background. Understanding of vendor pricing within the Washington, D.C. market. Spanish proficiency for communicating with Spanish-speaking vendors. Experience using LeadSimple, RingCentral, and ZInspector.
